Job Summary

The Secretary provides administrative support to the Head of Entity, with a primary focus on managing the executive’s calendar, coordinating meetings, and offering courteous assistance to guests and clients. This role is essential for ensuring smooth daily operations, managing time efficiently, and maintaining a professional and welcoming atmosphere. The ideal candidate must be bilingual, fluent in both Korean and English, and possess at least 3 years of relevant experience. This role involves managing administrative tasks, handling documentation, and ensuring exceptional hospitality for customers and VIP guests.

Job Description

  • Administrative Support:
  • - Calendar Management: Organize and maintain the Head of Entity’s calendar, schedule appointments, and travel arrangements. Communicate effectively to ensure timely updates and reminders.
  • - Prepare, organize, and maintain key documents, reports, and presentations for the Head of Entity.
  • - Handle all communication, including emails and correspondence, in both Korean and English, in a timely manner.
  • Customer, Guest and Client Assistance:
  • - Greet and assist customers, VIP guests, and business partners upon arrival.
  • - Provide excellent customer service and ensure the needs of all guests are met with professionalism.
  • - Coordinate meetings, conferences, and other events, ensuring smooth execution.
  • Documentation Assistance:
  • - Organize and maintain an efficient filing system for physical and digital documents.
  • - Assist in preparing and editing documents in both Korean and English.
  • - Support the Head of Entity in completing various tasks, ensuring deadlines are met and priorities are managed effectively.
  • Liaison & Communication:
  • - Act as the point of contact between the Head of Entity and other internal departments, external stakeholders, and partners.
  • - Assist in translating and interpreting during meetings or correspondence as needed.

Qualifications

  • - Minimum 3 years of experience as a secretary or administrative assistant, preferably in a multinational environment or supporting senior executives.
  • - Fluency in Korean and English (both spoken and written) is required.
  • - Exceptional organizational and multitasking abilities with strong attention to detail.
  • - Excellent communication skills, both verbal and written.
  • - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • - Ability to maintain confidentiality and handle sensitive information.
  • - Professional demeanor and ability to work effectively in a fast-paced environment.
